This Privacy Policy explains how Renova Agent Inc. collects, uses, shares, and protects personal information. The full policy is broken into 14 sections below — click any to expand, or use the contents list to jump.

Section 1

Who we are

Renova Agent Inc. ("Cadence," "we," "us," or "our") is a Wyoming corporation that provides an AI-native customer relationship management platform for insurance agents. Our platform is available at app.cadence.renovaagentinc.com. This Privacy Policy explains how we collect, use, share, and protect personal information.

Section 2

Information we collect

We collect information in three categories:

2.1 Information you provide directly

When you create an account, we collect your name, email address, phone number, agency or company affiliation, and password. When you subscribe to a paid plan, our payment processor (Stripe) collects payment information; we receive subscription metadata but do not store your payment card numbers.

2.2 Information you upload or generate

When you use our platform, you upload or generate information about your leads, clients, and the communications you send to them. This may include names, contact information, addresses, dates of birth, policy details, communication history, and notes you record. You are the controller of this data; we process it on your behalf.

2.3 Information collected automatically

When you use our platform we automatically collect technical information about your interaction with us: IP address, browser and device type, operating system, referring URL, pages viewed, time spent, and timestamps. We use cookies and similar technologies to maintain your session, remember preferences, and analyze usage patterns.

Section 3

How we use information

We use the information described above to:

  • Provide, operate, and maintain the platform
  • Authenticate users and protect against unauthorized access
  • Process subscription payments and manage account billing
  • Send transactional communications (account verification, billing, security alerts, service announcements)
  • Send product communications you have opted into (feature releases, tips); you may unsubscribe at any time
  • Improve and develop the platform, including aggregating de-identified usage data for analytics
  • Enforce our Terms of Service and protect against fraud, abuse, and security threats
  • Comply with legal obligations and respond to lawful requests from authorities
Section 4

AI processing

Our platform uses artificial intelligence services (currently Anthropic's Claude API) to provide features such as lead extraction from emails, drafting assistance for messages, and post-call summaries. When you use these features, the relevant content is sent to Anthropic for processing. Anthropic does not train its models on our customers' data under our enterprise agreement. We do not use customer data to train any other AI model.

Section 5

How we share information

We share information only as described below:

  • With service providers (subprocessors) who help us operate the platform. A current list is at renovaagentinc.com/subprocessors. Each subprocessor is contractually bound to protect customer data.
  • With your authorized users within your account (team members, agents you have invited).
  • For legal reasons: to comply with applicable law, valid legal process, or government requests; to protect our rights, property, or safety; or in connection with a business transaction such as a merger or acquisition.
  • With your consent or at your direction, in any other case.

We do not sell your personal information. We do not share your personal information with third parties for their own marketing purposes.

Section 6

How we protect information

We use technical and organizational safeguards to protect personal information, including TLS 1.3 encryption in transit, AES-256 encryption at rest, multi-factor authentication, role-based access controls, database row-level security, and comprehensive audit logging. No method of transmission or storage is 100 percent secure; we cannot guarantee absolute security but we work to reduce risk and to respond promptly to any incident.

Section 7

Data retention

We retain your personal information for as long as your account is active. If you cancel your subscription or delete your account, we retain your data for up to 30 days to allow account recovery, then delete it from production systems. Backups and archived logs may persist for an additional period before being rotated out (up to 90 days). We may retain certain information longer if required by law (e.g., tax records, regulatory requirements).

Your rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access: request a copy of the personal information we hold about you
  • Correction: ask us to correct inaccurate or incomplete information
  • Deletion: ask us to delete your personal information, subject to legal exceptions
  • Portability: request your information in a structured, machine-readable format
  • Opt-out: opt out of marketing communications and certain data uses
  • Non-discrimination: California residents will not be discriminated against for exercising these rights

To exercise any of these rights, email us at privacy@renovaagentinc.com. We will respond within 45 days for CCPA requests and within 30 days for other requests, or as otherwise required by applicable law.

Section 9

California residents (CCPA / CPRA)

California residents have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA). In the past 12 months, we have collected the categories of personal information described in Section 2. We have not sold or shared personal information for cross-context behavioral advertising. We do not knowingly collect personal information from children under 16.

California residents may submit requests via privacy@renovaagentinc.com. We will verify identity before fulfilling sensitive requests.

Section 10

Cookies and tracking technologies

We use a small number of cookies and similar technologies to operate the platform. We do not use third-party advertising cookies, marketing pixels, or tracking technologies for behavioral advertising. The cookies we set fall into the following categories:

  • Strictly necessary (essential): session authentication, CSRF tokens, and load balancing. Required for the platform to function. Cannot be disabled.
  • Functional: remembering preferences such as theme, sidebar collapsed state, and selected sub-tabs. Disabling these will cause the platform to forget your preferences between sessions.
  • Analytics: aggregated, privacy-respecting analytics about how the platform is used to inform product improvements. We do not share this data with third parties for advertising. We do not currently use Google Analytics, Meta Pixel, Hotjar, or similar third-party tracking products.

You can control cookies through your browser settings. Disabling strictly necessary cookies will prevent you from signing in. We honor "Do Not Track" browser signals where technically feasible.

If we add any third-party tracking technologies in the future (for example, marketing analytics or advertising pixels), we will update this policy and present a consent banner to users in jurisdictions that require opt-in consent.

Section 11

International users

Our platform is operated in the United States. If you access the platform from outside the United States, your information will be transferred to and processed in the United States. By using the platform, you consent to this transfer. We do not currently offer a Data Processing Agreement under GDPR for EU customers; if you require a DPA, please contact privacy@renovaagentinc.com.

Section 12

Children's privacy

Our platform is intended for business use by insurance agents over the age of 18. We do not knowingly collect personal information from children under 16. If we learn we have collected such information, we will delete it promptly.

Section 13

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top and notify you via email or in-app notice. Continued use of the platform after the effective date of the updated policy constitutes acceptance of the changes.
